Use Sanka AI from Email

Create a Sanka AI email route, send requests to the workspace alias, and receive replies by email.

Sanka AI for email lets approved users send requests to a Sanka-owned email alias and receive an automatic reply. Use it for lightweight record checks, draft preparation, and workflow requests that naturally start from email.

Preparation

  • Access to the target Sanka workspace
  • Permission to manage Sanka AI app setup in Sanka
  • A sender email address that matches an active Sanka user in the workspace
  • Available Sanka Credit for AI usage
  • Any attachments needed for the request
For launch, email routes use Sanka-managed inbound aliases under sanka.com. Do not forward sensitive customer mail to a broad alias unless your team has agreed on the workflow.

Create an email route

  1. Sign in to Sanka and open the target workspace.
  2. Open WorkspacePlan & Billing.
  3. In the Sanka AI app setup area, choose Email as the app provider.
  4. Choose Email alias as the route type.
  5. Enter a route name. If the alias field is optional in your workspace, leave it blank to let Sanka generate a private alias.
  6. Optionally enter a workflow ID if this email address should always start a specific workflow.
  7. Click Create route.
Copy the generated or assigned email alias. Share it only with users who should be allowed to trigger the route.

Send the first email

Send a short request from the email address that matches your Sanka user.
Sample prompt
Please show the 5 most recent invoices in Sanka and summarize the total outstanding amount. Do not update anything.
Attach files only when they are needed for the request, such as a vendor invoice, receipt, or CSV to review.

Review replies and senders

Sanka replies to the email thread automatically. If the sender cannot be matched to a Sanka user in the workspace, Sanka replies with an account-mapping error instead of running AI actions.Workspace administrators can review discovered senders and map them to Sanka users from the Sanka AI app setup area. Use this when a sender's email address differs from their Sanka login email.

Review usage

Email requests that run Sanka AI use Sanka Credit. Workspace administrators can review email-origin usage from WorkspacePlan & Billing.Usage records help you confirm which email thread triggered Sanka AI and whether a reply was delivered successfully.

Troubleshooting

  • If no reply arrives, check the sender mailbox, spam folder, and whether the alias was copied correctly.
  • If Sanka reports an account-mapping error, confirm that the sender email belongs to an active Sanka user in the workspace.
  • If attachments are ignored, send only the files needed for the request and keep them in common formats such as PDF, CSV, or images.
  • If the request should not create or send anything yet, say that clearly in the email body.
  • If an email route should be retired, disable the route from the Sanka AI app setup area.
