Connect HubSpot invoices and deals to freee with Sanka

Use Sanka to review HubSpot-sourced invoices and deals, then export them to freee accounting as invoice or transaction records.

Set up freee with Sanka so HubSpot-sourced invoices and deals can be reviewed in Sanka before they are exported to freee accounting, and so the freee records stay traceable back to the original Sanka data. Start with a freee test office, validate the created record, then move to your live office once your account code and tax rules are confirmed.

Prerequisites

  • Sanka workspace admin access.
  • A freee office you can use for testing first.
  • A connected freee integration in Sanka.
  • Draft Sanka invoices with a customer, issue date, due date, currency, and line items, or deals you intend to export.
  • An operating rule for freee account items, tax codes, partners, items, sections, and memo tags.
  • A review process for duplicate exports. If a Sanka record is already linked to freee, review the existing reference before exporting again.

HubSpot to freee workflow

Use this workflow when HubSpot is the CRM source and freee is the accounting destination.
  1. Review the HubSpot company, billing contact, deal, line items, amount, currency, tax, payment terms, and service period in Sanka.
  2. Create or review the Sanka invoice from the HubSpot deal.
  3. Confirm payment status, partial payments, payment fees, credits, and reconciliation exceptions.
  4. Export the reviewed Sanka invoice or deal to freee accounting.
  5. Keep the Sanka data, HubSpot deal, freee reference, payment status, and export history linked for audit.
Before go-live, decide how freee account items, tax codes, partner names, items, payment matching, and reconciliation exceptions should be handled.

Connect

  1. In Sanka, open Workspace > Integrations.
  2. Select Create integration, then choose freee.
  3. Authorize the target freee office, or enter the test credentials provided by your admin.
  4. Confirm freee appears in the integration list, then share access with the teammates who need to export data.

Export rules

  • freee export creates freee accounting records from a Sanka invoice or deal.
  • The partner name and email are taken from the Sanka invoice customer.
  • Issue date, due date, invoice number, reference, currency, and line items are copied where available.
  • Line items use the configured freee account item and tax code. Confirm these settings with accounting before exporting live data.
  • Sanka records the freee reference and export history so your team can trace which Sanka record created the freee entry.
  • Re-syncing or updating an existing freee record is not part of the basic export flow. If a record has already been exported, review the existing freee data before exporting another copy.

Export Sanka invoices to freee

  1. In Sanka, open Commerce > Invoices.
  2. Select the invoices you want to send to accounting.
  3. Select Export.
  4. Set Export destination to Integration, then choose the freee integration in Integration.
  5. Review the selected invoices, then click Export invoices.
After export, open freee and review the record before posting or sending it. Confirm the partner, issue date, due date, invoice number, line items, tax treatment, and account item.

Validate the setup

  • Use a freee test office first and export one small invoice.
  • Confirm partner name, email, invoice number, reference, dates, currency, line descriptions, quantities, unit prices, tax code, and account item.
  • In Sanka, open export history and confirm the export status and linked freee reference.
  • Try an invoice that is missing a customer or line items and confirm it is blocked before a record is created.

Review after export

  • In Invoices, confirm the Sanka invoice remains available for audit and that the export history shows the result.
  • In freee, confirm the record is not posted or sent until your accounting team approves it.
  • If accounting changes account items, tax codes, or line details in freee, note the final accounting treatment in your internal process.
  • If the export fails, review the Sanka invoice fields first, then check whether the freee office, account item, tax code, or authentication needs attention.

Troubleshooting

freee is connected but export fails

Check the selected freee office, authentication status, Sanka invoice customer, issue date, due date, currency, line items, account item, and tax code. Most export failures are caused by missing invoice data, invalid accounting settings, or expired authorization.

The exported record has the wrong total

Compare Sanka line item quantities, unit prices, discounts, taxes, currency, and rounding against the freee record. If accounting changes tax settings or account items in freee, record that final treatment in your internal process.

The wrong partner appears in freee

Review the customer on the Sanka invoice before exporting. If the customer was edited after export, confirm whether accounting should update the freee record manually or whether a new export is appropriate.

Duplicate records were created

Check Sanka export history and the freee reference before exporting again. The basic export flow creates a record and does not automatically merge with or update an existing freee entry.

Checkpoints

Use Sanka invoices, export history, action history, workflow history, and audit logs together with the freee record to confirm what happened before replying to a customer or asking AI to make a code change.

Go-live tips

  • Run at least one invoice export in a test office before using a live freee office.
  • Decide the default account item and tax code before the first live export.
  • Keep the first live batch small and compare Sanka invoice totals against freee record totals.
  • During the first week after go-live, review export history and freee records daily.
