Connect HubSpot invoice data to freee with Sanka

Use Sanka to create invoice records from closed-won HubSpot deals, review accounting fields, and export approved invoice data to freee.

Use this guide when HubSpot is the CRM source and freee is the accounting destination. Sanka sits between them so your team can create invoice records from closed-won HubSpot deals, review customer, line item, tax, account, department, and description fields, and export only reviewed invoice data to freee.

Prerequisites

  • HubSpot and Sanka are connected.
  • HubSpot companies, contacts, deals, line items, contract periods, and payment terms are visible in Sanka.
  • A freee integration is connected in Sanka.
  • Your team has rules for tax classes, accounts, departments, and descriptions.
  • Your team has decided which HubSpot deal stages are eligible for invoice creation.
  • Finance reviews invoice data before export.
  • HubSpot writeback fields for invoice status are defined.

HubSpot to freee workflow

  1. List closed-won HubSpot deals.
  2. Select only deals that are ready to invoice.
  3. Create Sanka invoice records from those deals.
  4. Review customer, line items, tax, account, department, description, and due date.
  5. Export reviewed invoice data to freee.
  6. Write invoice status, review status, and freee export status back to HubSpot.
This flow is about invoice data. It does not create payment or reconciliation data from HubSpot deals. Actual payments and reconciliation should be handled from freee, bank, or payment-service records.

Create invoice records

Ask Claude or Codex to review the HubSpot deals before creating invoices.
Sample prompt
/sanka List HubSpot deals that are closed-won and ready to invoice. Before creating Sanka invoice records, show the company, billing contact, line items, amount, tax, due date, and fields that finance must review. Do not export to freee or update HubSpot until I approve.
After review, create draft Sanka invoices and keep them linked to the original HubSpot deal.

Review before export

Export to freee

  1. In Sanka, open Commerce > Invoices.
  2. Select the invoices to export.
  3. Confirm customer, line items, tax, account, department, and description.
  4. Select Export.
  5. Choose the freee integration as the export destination.
  6. Run the export after finance approval.
After export, open freee and confirm the customer, issue date, line items, tax, amount, and description.

Write status back to HubSpot

Write back sales-facing status, not every internal accounting detail.
